Many health insurance plans provide coverage for psychological or counselling services. However, coverage varies significantly between plans, providers and individual policies.
It is the client's responsibility to confirm their coverage, including:
Whether the practitioner is eligible under their plan;
Whether the specific service is covered;
The amount or percentage covered;
Any annual or lifetime maximums;
Deductibles or co-payments;
Whether direct billing is available; and
Any other restrictions or requirements imposed by their insurance provider.
Vital Mind Psychology cannot guarantee that a service will be covered by a client's insurance plan or that an insurance claim will be approved.
Where direct billing is available, Vital Mind Psychology may submit claims to the client's insurance provider as a convenience to the client. Direct billing is not available for every practitioner, insurer, plan or service and may be subject to change.
Submitting a claim does not constitute confirmation that the claim will be paid.
-
Credit Card on File
Where a credit card has been securely provided through Jane, the card may be used to process outstanding amounts owed to Vital Mind Psychology in accordance with this policy.
Outstanding amounts may include, but are not limited to:
Session fees not covered by an insurance plan;
The portion of a session fee not reimbursed by insurance;
Insurance deductibles or co-payments that are the client's responsibility;
Claims that are declined, rejected or otherwise not payable by an insurance provider;
Amounts resulting from a client's insurance coverage being insufficient or exhausted; and
Cancellation or missed-appointment fees, where applicable.
Where an insurance claim is submitted on a client's behalf, the client remains responsible for the full session fee unless and until payment is received from the insurance provider.
-
Clients remain financially responsible for all fees associated with services they receive, regardless of whether an insurance provider approves, partially reimburses or declines a claim.
If an insurance provider pays only part of a session fee, the remaining balance is the client's responsibility.
If an insurance claim is declined, rejected, delayed or otherwise not paid, the outstanding amount remains payable by the client.
Where a credit card is securely stored on file in Jane, Vital Mind Psychology may charge the outstanding balance to that card.
Where appropriate, the clinic may contact the client before processing an outstanding balance.
If a claim is pending or requires further information from the insurance provider, the client may be required to pay the outstanding amount and seek reimbursement directly from their insurer.
Vital Mind Psychology is unable to guarantee the outcome of an insurance claim and cannot be responsible for decisions made by an insurance provider.
-
A receipt will be provided for payments made for services. Where direct billing is not available, or where a client is required to pay the full or remaining balance, the client may submit their receipt to their insurance provider for reimbursement.
Clients are responsible for submitting receipts and following up with their insurance provider regarding reimbursement.
-
Cancellation & Missed Appointments
If you are unable to attend a scheduled appointment, please provide at least 24 hours' notice, or one business day where applicable.
Appointments cancelled with insufficient notice or missed without notice may be subject to the full session fee.
Cancellation and missed-appointment fees are generally not eligible for insurance reimbursement and remain the client's responsibility.
